Sync with Microsoft Outlook

Connecting IntakeQ to your Microsoft Outlook calendar offers two great benefits:

  1. Every IntakeQ appointment will be automatically created in your Outlook calendar.
  2. Your booking widget will take your Outlook calendar events into account to determine your availability.

To give IntakeQ permission to sync with your Outlook calendar, click "Bookings > Booking Settings" and click on the "Sync" tab.

When you click the "Sync" tab, you will see a button that says "Connect with Outlook Calendar". When you click that button, it will ask you sign in to your Microsoft account. Enter your email address and password to connect your Microsoft account to IntakeQ.

Once you have connected your account to IntakeQ, you will see the following options appear under the Outlook Calendar section.

You can then sync the calendars together, by going back to the "Booking" page, and clicking "Filters" on the right-hand side. When you do this, the following menu will appear.

Force IntakeQ to Re-Sync with Microsoft Calendar

If for some reason your IntakeQ and Microsoft Outlook calendars get disconnected from one another or are not communicating with each other, you can re-sync the calendars by clicking the re-sync icon in the "Filters" menu.

When you sync your calendar with IntakeQ, the events that are on your Outlook Calendar will appear on your IntakeQ calendar:

And your appointments in IntakeQ will appear on your Outlook calendar.

When Outlook Events Should Block Time in IntakeQ

If you want to ensure that the appointments in your booking widget are not scheduled during these events, you can do so by setting your Outlook events to "Busy". IntakeQ will see the status as busy, and not allow for appointments during that time slot. To make the status of your events to "Busy", you can do this by going to your Outlook Calendar and clicking "Edit" on the event.

Using the drop-down menu, set your "Show as", to "Busy".

If you want to change this within IntakeQ, you can do this by selecting the Outlook event in IntakeQ, and click the checkbox next to "This event should NOT block time on my Booking Widget". This will reverse the "Busy" status, and IntakeQ will book appointments during this event.

NOTE: The note field in the create appointment dialog will NOT export to the Outlook Calendar.
