Time to Book Again
In some clinics you may need to see clients on a regular basis, so it can be useful to send them a reminder when it is time to book their next visit.
IMPORTANT:
- Archived clients will not receive the Time to Book Again email.
- The Time to Book Again email/SMS will not be available in PracticeQ once a practice is integrated with Engage. It will be replaced by Engage's recall feature.
Set Up the Email
- Click Bookings → Booking Settings.
- Select the Messages tab.
- Click the Add Email button.
- In the Please choose what you want to do: window, select Create a 'Time to Book Again' email template.
- Enter the settings:
- Give the template a Name.
- Select specific services, locations, or practitioners if desired.
- Set the number of days after the last visit to send the email. PracticeQ will only send the email if no new appointments have been booked since then.
- Set a Limit.
- Enter an Email Subject.
- Type the email body; click Add Field to add placeholders, such as [ClientName]. These will pull directly from the client profile.
- When ready, check the box labeled Is Active.
- Click Save.
Note: You may create more than one email for this purpose. For example, you may send one email when it has been one month since their last visit, then another when it has been three months, and another after 6 months.
Set Up the SMS
- Click Bookings → Booking Settings.
- Select the Messages tab.
- Click the Add SMS button.
- Make your selections; they will be similar to the email settings.
When using this SMS feature:
- Please do not use this feature for marketing purposes as it may cause the phone carrier to block all your messages coming from PracticeQ.
- By increasing your SMS usage, you may incur overage charges depending on your plan. Learn more about our SMS pricing and limits here.
