[BETA] Engage - What Messaging Will Change In PracticeQ With Engage Activation?
⚠️ This feature is currently in BETA and may not be available to all customers.
When Engage is activated, certain email and SMS communications previously managed within PracticeQ (PQ) will be handled directly through Engage instead. This streamlines your messaging strategy and centralizes patient communication within the Engage platform.
‼️Important note about scheduling:
Once your practice is integrated with Engage, you will not be able to select the More → Change Client option for an existing appointment. Please cancel the appointment and schedule a new one.
✅ What Will Be Managed by Engage?
Once Engage is turned on, the following templates will be hidden in PracticeQ and managed in Engage:
Emails (Now managed by Engage)
- Scheduled Appointment
- Appointment Confirmation (see note below)
- IMPORTANT: the confirmation email that sends immediately after the patient schedules will still send from PracticeQ. Engage offers an additional email that prompts clients to confirm their appointments by clicking a link.
- Appointment Reminder
- Missed Appointment
- Birthday
- Time to Book Again (labeled “Recall” in Engage)
SMS Templates (Now managed by Engage)
- Scheduled Appointment
- Time to Book Again (Recall)
These templates will no longer appear in PQ once Engage is activated.
📩 What Will Still Be Sent from PQ?
The following templates will remain active and managed in PracticeQ, even after Engage is activated:
Email Templates Still in PQ
- Appointment Declined
- Appointment Canceled (by Staff)
- Appointment Canceled (by Client)
- Package Confirmation
- Package Declined
- Package Expiring
- Package Session About to End
- Zoom Meeting Reminder
- Telehealth Appointment Reminder
- Google Meet Appointment Reminder
- Check-In
- Note: Check-In SMS messages will no longer be available in PQ
These templates will continue functioning as usual and can still be edited within PQ.
📄 Form SMS and Email Templates
Form SMS and email templates will continue to be managed in PracticeQ. You can create, assign, and send these as usual for intake workflows.
However, when a form SMS is sent (whether scheduled or sent directly from PQ), it will now:
- Be delivered from the same phone number used by your Engage program, providing a consistent experience for your patients.
- Appear in the full patient message history within the Patient Communicator in Engage.
This means you will see a chronological view of all communication with each patient, including:
- Automated reminders sent from Engage
- Ad-hoc or "blast" messages from Engage
- Form-related SMS messages from PracticeQ
This unified history makes it easier to track and manage all patient interactions in one place.
