Add Services

Add the services you offer in your Booking Settings. PracticeQ offers several options for customizing services.

  1. Click Bookings → Booking Settings.
  2. Select the Services tab.
  3. Click the + Add Service button.

Tab Options

The following tabs offer many ways to customize your services.

Basic

  • Service Name
  • Service Description
  • Session Duration. Click Hide if you do not wish this to display in the Booking Widget.
  • Price. Click Hide if you do not wish this to display in the Booking Widget.
  • Check which Locations will offer the service
  • Check which Practitioners will offer the service
  • Check Update all upcoming appointments upon saving if  you are making edits to an existing service and you want your changes to reflect immediately.

Form

  • Select which form, if any, will be associated with the service.
  • When a form is selected, additional options will display. 
  • Check all that apply and click Save.

Resources 

  • Select which room(s) will be needed for the service.
  • This will determine whether or not a client sees an available time slot for the service when booking online.
  • Check Update all upcoming appointments upon saving if  you are making edits to an existing service and you want your changes to reflect immediately.
  • Click Save.

Overrides

If you do not make any selections in this tab, all settings will follow the default account settings found in Booking → Booking Settings under the Settings tab.

  • Appointment Confirmation: When should an appointment made for this service be confirmed?
  • Time Preference: How appointments for this service be booked? For example, you can choose to fill up morning appointments first.
  • Widget Practitioner Selection: Can the client pick the practitioner or will they receive the first available slot? There are several variations to choose from.
  • Appointments Start: Should appointments begin at certain durations, or as needed to maximize booking?
  • Lead Time: Can appointments for this service be made immediately or do they require a specific amount of lead time?
  • Same-Day Lead Time: If appointments for this service can be made same-day, how many minutes of lead time are needed?
  • Require Credit Card? Will you require a credit card or deposit at time of booking?
  • Automatic charge: Would you like to charge the client at booking or at the time of the appointment?

Advanced 

  • Color: What color should this service show on the calendar?
  • Daily Session Limit: How many appointments for this service can be scheduled per day?
  • Max appointments per slot: Will you allow more than one client to book the same time slot, such as for a workshop or group session?
  • Hidden Service: Check this if you do not want the service to show on your website widget.
  • Make this service available starting: Enter the date the service will be available for scheduling.
  • Make this service available until: If you are not going to offer this service indefinitely, enter an end date.
  • Widget Auto-tagging: If you wish for clients who book this service to be tagged automatically, select which tag you wish to apply at booking.
  • Block practitioner time for ___ minutes: If you allow overlapping appointments, select how many minutes of the appointment the practitioner will be needed. If the practitioner will be needed for the entire appointment duration, leave this blank.
  • Block practitioner time for the last ___ minutes of the appointment only: Select this option if applicable.
  • Allow couples or families to book via the Widget: Do you wish to allow more than one individual to book this appointment online?
  • Prevent insurance billing: Check this if you do not wish to include the service on claims.
  • Treat this service as an event: Check this if you wish for this service to ignore availability settings, with the exception of Lead Time and Max Availability per Time Slot. This is useful for one-time events, such as workshops or classes.

Taxes

  • Check taxes that apply to the service.
  • Check the box Taxes are included in price, if applicable.
  • Taxes can be managed in Lists → Invoices → Invoice Settings under the Taxes tab.

Cancellation

If you check the box labeled Override cancellation settings, more options will display:

  • Cancellation Policy: Enter a cancellation fee to be charged when a client cancels within X hours of their appointment.
  • Cancellation Policy Text: Type what you want clients to see when informed of the cancellation policy.
  • Online Cancellation: Enter how many hours before the appointment you will allow clients to cancel.
  • Online Rescheduling: Enter how many hours before the appointment you will allow clients to reschedule.

Pricing

  • Set custom prices for the service based on the practitioner and/or location.
  • Click the Add Custom Price button to select Practitioner, Location and Price.

CPT Codes

Widget

  • Click Copy Code the embed the service on your website.
  • Click Copy Link to quickly send a client a scheduling link for the service.
