Track Appointment Balances

PracticeQ's claims module offers a powerful search page that allows you to track claim status, insurance payment, and client balance for each particular session. 

  1. Click Lists → Claims → Appointments.
  2. Sort the Date column, if desired.
  3. The Billed column shows claims associated with each session and the claim's status.
  4. The Client Amount column shows the copay balance for each session and the status.

Find Appointments with Outstanding Balances

Once an insurance payer has provided the Explanation of Benefits (EOB) and that information has been pulled into PracticeQ (either automatically via Office Ally, TriZetto, or recorded manually), the system will update the amount owed by the client for that session.

  • To easily view all sessions where the client owes money, set the Payment filter to Has payment info and pending client amount
  • The system will show all appointments for which claims have been processed and resulted in a positive client responsibility amount. This could be due to copay, coinsurance, deductible or a denied claim. 
  • You can invoice the client from this page. Simply click the blue Create Invoice link in the Client Amount column.
  • You can also click on claims and insurance payments to see their details, also without leaving the page.

Target Claims That May Need Follow Up 

Claims that may need follow up after the ERA comes back from the insurance payer will show colored icons.

  • An orange icon will show if $0 is paid on a line item
  • A red icon will show if there are negative amounts on a line item
  • A blue icon will show if paid amount is below submitted amount
