Helpful Tips for Using Heidi AI Scribe with PracticeQ

Heidi AI Scribe is designed to seamlessly integrate with PracticeQ to enhance note-taking during patient sessions. Below are some essential tips to ensure a smooth experience when using Heidi AI Scribe.


Setting Up a Template for Heidi

Heidi tracks session conversations by mapping them to the appropriate sections in your note template. Follow these steps to optimize your template for Heidi:

  1. Use Key Phrases for Better Tracking
    1. Heidi does notread section headers or blank questions in your PQ note template. 
    2. Instead, ensure your template questions containkey phrases that match the verbal prompts you use in your session.
    3. Example: If discussing patient history, use the keywords to indicate the pastin both your template question ("Patient History”) and in your verbal prompt ("Tell me about your past surgeries.").
  2. Avoid Pinned Questions for Auto-Filled Data
    • Heidi ignores pinned questions to prevent overwriting any important data you have manually stored.
    • If a note section is critical and should not be auto-filled, consider pinning it.
  3. Creating Sections for Manual Entry Note-Taking
    1. If you want to manually answer select questions and have Heidi ignore that question, create your desired question type, and DO NOT add any question text in the question when editing your note template. Leave it blank:
      1. You can include a section header above the blank question to remind you of its purpose. Heidi will ignore ‘blank’ questions, but you can use the Section Header as a reference.
      2. For example:
    2. If you want to manually jot down notes during a session and have Heidi ignore that section, set up an Open Answer question type with multiple lines and DO NOT add any question text in the question when editing your note template. Leave it blank.   You can add a “Session Notes” section OR add “Session Notes” as the placeholder to remind you of its purpose in the live note.

This allows you to maintain control over certain sections without interference from Heidi.



Best Practices for Using Heidi in Telehealth Sessions

Heidi is optimized for both in-person and telehealth visits. Follow these best practices for a seamless telehealth experience:

  • Avoid Using Earphones
    • Heidi relies on audio from both the provider and patient. Some browser and telehealth combinations work with headphones. It's recommended you test this out before you have a live session to make sure headphones work with your setup. 
  • Ensure Adequate Speaker Volume
    • Make sure your computer or laptop speakers are loud enough for Heidi to pick up the conversation clearly.
    • If the patient’s voice is too low, Heidi might not capture their responses accurately.


Navigating Heidi in Your EHR


To ensure that Heidi integrates data into the correct note:

  1. Always Start Heidi from the PQ Patient Note You Want to Integrate With
  • Heidi allows you to navigate around the app and review other session notes, but when ready to push data, return to the original note.
  1. Push From the Structured Note Tab
  • Data can only be pushed into a PQ note from the “Structured Note” tab in the PQ Heidi widget. This ensures Heidi’s output is properly formatted and aligns perfectly with your PQ note structure.

Pasting Heidi Generated Letters Into PracticeQ

To Create a Blank Note Template to Copy Heidi Content Into:
Create Blank Template:
  1. Create a new note template with a single Open Answer question type.
  2. Name it the letter they want to use it for (Referral Letter)
  3. Make sure to check the ‘Provide multiple lines or answer’ checkbox
From the Heidi Widget
  1. Generate letter from the Magic Wand
  2. Select and copy text
  3. Create new note with the letter template
  4. Paste letter text into template and save
