Assign Tasks via Form Rules
PracticeQ allows you to create and assign tasks to practitioners and assistants via form rules.
Do you want a practitioner to review a submitted intake form when a client notes something specific in an answer to a multiple selection question on an intake questionnaire? Form rules allow you to automatically generate a task when a client chooses specific answers!
This article assumes that you understand the basics of the Rules and the Tasks systems.
Step 1: Create the Process Template
- Click More → Processes → New.
- Name the task template and click Add New Task.
- Enter the task description, priority, due date, and who to assign the task to.
Examples:
If you want to send a task to a specific assistant when a client answers that they wish to be added to the mailing list, set the priority to low, the description to Add to newsletter, and Assign to Specific User - the assistant's name.
If you want to create a task for the client's practitioner to review their medicine list, set the priority to your choosing, the description as Review Client Medication, and use Assign to Client Owner.
Step 2: Select which Process to Trigger
- Click My Forms and open the form template.
- Click the three dots icon and select Rules.
- Click Add New Rule.
- Choose the question and set the rule as follows:
1) If - Question #
2) Equals - Desired Answer
3) Then - Trigger Process Automation
4) Select the Process to be triggered.
Review the Rules
You do not have to go through each of your forms manually to check the rules you created.
- Click More → Processes.
- Select the Template.
- Select the Automation tab.
- The system will display the form rules that will trigger the tasks automatically.
